How HomeBook handles personal information through its Canadian website, enquiries and demo bookings.

1. Who we are and what this policy covers

This policy applies to personal information collected through our public Canadian website, enquiry forms, demo bookings and related communications. British Columbia’s Personal Information Protection Act generally applies to our activities in British Columbia. Canada’s Personal Information Protection and Electronic Documents Act may apply where personal information crosses provincial or national borders in the course of commercial activity.
This policy does not govern personal information processed within a customer’s HomeBook platform deployment. Customer deployments are governed by the applicable customer agreement and deployment-specific privacy documentation.
2. Accountability and Privacy Officer
HomeBook has designated the Privacy Officer role to oversee compliance with applicable privacy law and to respond to privacy questions, access or correction requests and complaints. The contact route for that role is:

3. Information we collect
Depending on how you use the website, we may collect:
- Information you provide, including your name, business email address, company, phone number, question or message and other information you choose to include.
- Demo-booking information. If you use our Calendly link, Calendly collects the information you submit under its own privacy terms, and HomeBook receives the information needed to arrange and manage the meeting.
- Website and form information, including the page from which an enquiry was submitted, Canadian or UK market selection, form type, submission timestamp and a unique request identifier used to help prevent duplicate delivery.
- Technical and security information recorded by our hosting, content-delivery and security providers, such as IP address, browser and device information, requested pages, referring page, date and time and security events.
- An essential browser-storage entry used to remember your analytics choice.
- Where optional Google Analytics is configured, page-view and interaction information after you select “Allow analytics”. Optional analytics remain off unless you allow them and are not used for behavioural advertising.
Please do not submit confidential, sensitive or unnecessary personal information through the public enquiry form.
4. Purposes, consent and limits
We collect, use and disclose personal information only for purposes that a reasonable person would consider appropriate in the circumstances, including to:
- Deliver, secure, maintain and troubleshoot the website.
- Respond to enquiries and communicate about the matter you raised.
- Arrange and manage demonstrations and meetings.
- Keep appropriate records of business communications.
- Understand website use where you have allowed optional analytics.
- Prevent fraud, spam, duplicate submissions, misuse and security incidents.
- Meet legal, regulatory and business-record requirements.
When you voluntarily submit an enquiry, we rely on your consent for the evident purpose of responding to it. We will seek further consent before using the information for a materially different purpose unless applicable law permits that use without consent.
You may withdraw consent on reasonable notice, subject to legal or contractual restrictions. We will explain any reasonably foreseeable consequences. Withdrawal does not affect handling that was lawful before it took effect.
5. Electronic communications
We may reply to an enquiry and send closely related follow-up communications. We will not use enquiry information for unrelated commercial electronic marketing without consent or another basis permitted by Canada’s anti-spam law. Where a message is a commercial electronic message, it will include the identification and unsubscribe information required by law.
6. When we share information
We may provide personal information to:
- Personnel and contractors who need it to perform their work.
- Website hosting, content-delivery, security, form-delivery and email providers.
- Calendly when you choose to use its booking service.
- Google where optional Google Analytics is configured and you have allowed it.
- Professional advisers, auditors or a party involved in a proposed corporate transaction, subject to appropriate confidentiality requirements.
- Government, regulatory, law-enforcement or other parties where disclosure is required or permitted by law.
We do not sell or rent personal information collected through the Canadian marketing website. We require service providers to handle personal information only for the services they provide to us, subject to applicable contracts and law.
7. Processing outside Canada
Some service providers may process personal information outside Canada. Information processed in another jurisdiction may be subject to that jurisdiction’s laws and may be accessible to its courts, law-enforcement or national-security authorities.
HomeBook remains responsible for personal information under its control and uses contractual or other reasonable measures to require appropriate protection when service providers process it. Contact our Privacy Officer for further information about relevant service providers or jurisdictions.
8. Retention
We retain personal information only for as long as reasonably necessary to manage the relevant enquiry or prospective business relationship, meet legal and business requirements, resolve disputes and enforce agreements. If we use personal information to make a decision that directly affects an individual, we retain that information for at least the period required by applicable law so the individual has a reasonable opportunity to obtain access to it.
When retention is no longer reasonably necessary, we delete, securely destroy or de-identify the information.
9. Security and incidents
We use reasonable administrative, technical and physical safeguards appropriate to the nature and sensitivity of the information. These measures include access limitation, transport encryption, secure secret storage and controls intended to reduce spam and duplicate form delivery. No internet transmission or storage system can be guaranteed to be completely secure.
If we identify a security incident involving personal information, we will contain and assess it and take the notification and other steps required by applicable law.
10. Access, correction and complaints
You may ask to access personal information about you under our control, receive information about how it has been used and disclosed, correct an error or omission, withdraw consent where applicable, or make a complaint about our handling of personal information.
Send a written request to the Privacy Officer with enough detail to identify the information or issue. We may take reasonable steps to verify your identity. We will respond within the period required by applicable law and will explain any lawful refusal or extension.
If we cannot resolve a complaint, you may contact the Office of the Information and Privacy Commissioner for British Columbia or, where federal law applies, the Office of the Privacy Commissioner of Canada.
11. Cookies, browser storage and external websites
Our Cookie Notice explains the necessary technology, optional analytics and controls used on this website. Links to third-party websites or services are governed by those parties’ privacy practices, and HomeBook is not responsible for third-party websites.
12. Changes and contact
We may update this policy to reflect changes in our practices or legal obligations. We will post the revised policy with its updated date and seek consent where a change requires new consent.
